School counselor resume examples & writing guide for 2026

Three school counselor resumes at first-year, experienced and lead-counselor level, each rendered in the template the page names and pulled apart note by note. Every one puts the certificate, the caseload and one student outcome where a principal looks first.

What makes this resume work

Each marker on the page has a note here. Press a marker to jump to its note.

  1. 1

    Headline names the grade band

Grades 11 and 12, plus the college and career readiness role. A high school hiring a senior-class counselor and one hiring for ninth grade are hiring different jobs, and the headline says which one this is.

  2. 2

    Caseload and one outcome

Three hundred and seventy-two students and a FAFSA completion rate that moved from 48% to 71%. Financial-aid completion is reported by state and district, so a principal can check the claim before the interview.

  3. 3

    Evening sessions, not intentions

Fourteen evening filing sessions is the mechanism behind the FAFSA number. Families file at night, and naming the sessions is what separates a counselor who ran a program from one who reported on it.

  4. 4

    Applications tracked and counted

One thousand one hundred and eighty applications for 186 seniors, tracked in the platform the office uses. It is the volume figure that says whether this counselor has worked a real senior-class season.

  5. 5

    Scheduling owned as counseling work

The counseling side of a 1,620-student master schedule, with 340 conflicts cleared. Scheduling eats a counselor's autumn, and a principal wants to know it will be handled before the first bell.

  6. 6

    Middle school years kept whole

Three lines, each with a number: caseload, lessons, referrals cut from 96 to 41. Districts move counselors between levels, so the middle-school years are an asset rather than a detour and keep their own figures.

03The same resume at three levels

The tinted row is the level shown above.

  • Entry-level

    0–2 years

Education and the certificate lead, then the internship hours and settings, then the first caseload. The headline carries the certificate because counseling is certified separately from teaching. Every bullet holds a caseload figure, a lesson count, a plan count or a percentage the school already reports.

Typical titles: School counselor, Guidance counselor, Counselor, grades 9–10

  • Mid-level

    3–6 years

The headline adds the grade band and the college and career readiness role. The current post opens with caseload, then the completion rate, the application volume and the scheduling load. The middle-school years keep three numbered lines, and one certificate carries the tier.

Typical titles: School counselor, grades 11–12, College and career counselor, Senior class counselor

  • Senior

    7+ years

Scope replaces the caseload: counselors led, students served, graduation rate moved, aid dollars recorded. The program's recognition and the national credential are the two lines a staff counselor cannot show. The middle-school years keep one line, and the master's degree closes the page.

Typical titles: Lead school counselor, Director of school counseling, Counseling department chair

04Summary

Weak

Caring and student-focused school counselor committed to supporting the academic, social and emotional growth of every student in a safe and inclusive environment.

Strong

School counselor with five years in Maryland public schools, carrying a caseload of 372 juniors and seniors and leading college and career readiness for a 1,620-student high school. Raised senior FAFSA completion from 48% to 71% in two years.

Caseload, school size, the program owned and one rate the district already reports. A principal can pull the state financial-aid dashboard and check it. The weak version describes the job every counselor holds and gives an interview panel nothing to open with.

05Bullets

Weak

  • Provided academic, career and personal counseling to students and collaborated with teachers and parents to support student success.

Strong

  • Increased senior FAFSA completion from 48% to 71% over two years by running 14 evening filing sessions for families.

A rate with a baseline, a period, and the mechanism that actually moved it. An interviewer can ask who came to those sessions, what languages they ran in and how the families were reached. The weak bullet is the job description copied out of the posting, and it could sit on any counselor's resume in any state unchanged.

07Mistakes to avoid

  1. No caseload anywhere on the page

Fix: Caseload is the first question in the interview, so answer it on the resume. Give the number of students, the grade band and the size of the school: 372 juniors and seniors at a 1,620-student high school. Without it a reader cannot size the job you held.

  2. The counseling certificate written as a teaching license

Fix: School counseling is certified separately, through a master's in school counseling and supervised hours. Name the certificate, its grade band, the issuing state agency and the expiry, and put the internship hours near it while you are early.

  3. Support described without a number attached

Fix: Supported students academically and emotionally could describe anyone. Counselors already sit on countable data: FAFSA completion, post-secondary plans on file, chronic absenteeism, discipline referrals, 504 plans, classroom lessons delivered. Pick three and give the baseline.

  4. Scheduling and clerical work left off entirely

Fix: Master scheduling, transcript audits and registration eat a counselor's autumn, and a principal needs to know they are safe with you. Name the scale rather than the task: the counseling side of a 1,620-student schedule, 340 conflicts cleared.

  5. Program frameworks mentioned without evidence

Fix: Familiar with the ASCA National Model proves nothing. Show the artifacts instead: needs assessment, annual action plan, results report, and the recognition review if your school completed one, with the year it was awarded.

08Format and template

Single column, standard headings, no photo. District application systems and the principals reading behind them scan for the certificate, the grade band and the caseload in that order, and a two-column layout can split the credential from its grade band. This example uses Green Academic, which carries a credential line under the name and a dated certifications block. The same content works in Standard, Warm Classic and Beige Border.

09Questions school counselors ask

How do I write my school counselor certificate on a resume?

On the line under your name and again in a dated certifications block near the top. Give the certificate name, the grade band it covers, the state agency that issued it and the expiry. Public school counseling is certified separately from teaching, usually through a master's in school counseling plus supervised hours, so a reader has to see which credential you actually hold before anything else on the page counts.

Should I put my caseload on a school counselor resume?

Yes, on every role. Give the number of students, the grade band and the size of the school, because a caseload of 372 in a 1,620-student high school is a different job from 210 in a small middle school. The professional association publishes a recommended student-to-counselor ratio and most schools sit above it, so the number is read as evidence of load carried rather than as a complaint.

Which numbers belong on a school counselor resume?

The ones your school already reports. Financial-aid completion, post-secondary plans on file, graduation and credit-recovery counts, chronic absenteeism, discipline referrals, classroom lessons delivered, 504 plans maintained, applications tracked. Give each a baseline, an endpoint and a period. Never name a student, never use individual case data, and leave off anything you could not explain if a principal pulled the district report.

What goes on a first-year school counselor resume?

Education first, then the certificate with its grade band and dates, then the internship as its own block: practicum and internship hours, the settings and the grade bands. Add any school-based work such as coaching, tutoring or paraeducator time with a student count. Districts hire counselors on the same spring cycle as teachers, so have the certificate issued or pending with dates before the postings open.

How do I show program leadership without a title?

Write it inside the counselor role with its scope and a result. Leading college and career readiness for a whole school, running the evening filing sessions, rebuilding the counseling side of the master schedule are all program work. If your school completed a recognition review against the profession's national model, name it with the year. Those lines are what lead counselor and director postings screen for.

How long should a school counselor resume be?

One page through about ten years, which the lead-counselor example holds by cutting the earlier campus to a single line. District applications collect the certificate, transcripts and references separately, so the resume does not have to carry them. A second page is fair for a director accounting for several schools. When you cut, drop the oldest duties first and keep every caseload figure, rate and baseline.
