  1. Duties copied from the posting instead of volumes handled

    Fix: Managed calendars and coordinated travel is every posting for this title. Write how much: 3 executives and 55 meetings a week, 40 trips a year, $410,000 in card spend. Volume is the only thing that separates one assistant's resume from another's.

  2. Microsoft Office as one line in the skills list

    Fix: Postings name Outlook, Excel, Word and PowerPoint separately, and the O*NET technology list for the occupation runs to dozens of named products. List each one you use, add the systems behind them, and show each inside a bullet with a number beside it.

  3. The people supported left out

    Fix: An office manager sizes a candidate by who sat on the other side of the desk. Name the titles and the count on the first line of every role: a director and 3 supervisors, an assistant vice chancellor, a CEO and 4 vice presidents. The names stay private.

  4. A summary built from organized, detail-oriented and fast-paced

    Fix: Those three words are on most resumes for this title and no manager screens on them. Open with the office, the people supported and two things you own with a number, and let the adjectives go.

  5. No mention of money, deadlines or audits

How do I show calendar and travel work as results instead of duties?

Attach a volume and a record to each. Calendars: how many people, how many meetings a week, and whether double bookings happened. Travel: trips a year, the booking system, and expense reports filed inside the policy window. The mid-level example reads 55 meetings a week, 40 trips in SAP Concur and every report inside 30 days. Recruiters who place assistants say they scan for the executives supported and the scope first, and those numbers are the scope.

Should I list Microsoft Office, or each program?

Each program, and the systems behind them. Postings for this title name Outlook, Excel, Word and PowerPoint one by one, and the O*NET technology list for the occupation runs to dozens of named products, from SAP Concur to PeopleSoft to Zoom. A single Microsoft Office line matches none of those searches. List the products you use, keep the ones you could be tested on, and let a Microsoft Office Specialist certificate carry the proof for the one you know best.

What should an entry-level administrative assistant resume include?

Any desk you have run, with its volume: calls and walk-ins a day, phone lines, clients greeted, files handled. Part-time office work during school counts and belongs in experience, not a footnote. Add the degree or certificate, a notary commission if you hold one, and the software by product. Then find one process you improved, however small, and write the before and after. The entry example's permit tracker, 9 days to 4, is that line.

Is the Certified Administrative Professional credential worth it?

For a senior or executive assistant, yes. It is the one core certification CareerOneStop lists for the occupation, IAAP requires two to four years of experience depending on your degree, and it recertifies every three years. Postings rarely require it, so it will not get an entry-level resume read, but on a resume that already shows board support and a budget it confirms the level. Microsoft Office Specialist certificates do the same job earlier in a career.

How do I move from administrative assistant to executive assistant?

Show the parts of the executive role you already do: the most senior person you support, any board or committee work, money you reconcile or budget, and people you train or cover for. Postings for executive assistants ask for two or more years supporting senior leaders, project work and Microsoft Office at an expert level. Write those lines in your current role with numbers, and the title change becomes a step rather than a leap.

How long should an administrative assistant resume be?

One page through about ten years. The executive-assistant example holds nine years on one sheet by giving the earlier desks one line each. Volume and systems make the case at this level, not a list of every duty since the first job. If you need to cut, drop duties first, then the oldest role, and keep every count, dollar figure and deadline.
