Executive assistant resume examples & writing guide for 2026
Three executive assistant resumes at first-year, five-year and senior level, rendered in a real template and annotated line by line. Each says what a chief of staff checks first: who was supported, meetings a week, trips and dollars, board deadlines met, tools by name.
Written by the Resumi editorial team for a fictional candidate. Role facts come from O*NET and the U.S. Bureau of Labor Statistics.
Strength band is Resumi’s optimization score, not a ranking any employer sees.

1
Executives named with the company size
Executive assistant, a CFO and two vice presidents, a 220-person software company. Postings are written around who is supported, and the headline answers that with the level and the size before the summary.
2
Volumes in the profile
Three calendars and 70 meetings a week, 28 trips a year in Concur, quarterly board packets out five days ahead, after two years running a nonprofit's front office. A chief of staff can size the desk in two lines.
3
Meetings, time zones, zero double-bookings
Seventy meetings a week across four time zones for three executives, with zero double-bookings in twelve months. Calendar orchestration is the first requirement in every posting, and the zero is the number that proves it.
4
Finance packets five days ahead
Four quarterly finance packets in Slides and Excel, each out to seven directors five days before the meeting. Board support at year one, with the lead time that a board secretary or a CFO would confirm.
5
Inbox system with the time saved
The CFO's inbox triage from two hours a day to 40 minutes with a label and priority system now used by four executives. Postings ask for systems that improve executive workflows, and this line is one with its adoption.
6
Tools shown at work
Google Workspace, SAP Concur, Slides, Excel, Slack and QuickBooks, each named in a bullet with a volume beside it. The occupation's posting data screens on these names, and the right column carries them without a bare list.
1
CEO, company size and board
Executive assistant to the CEO, a 220-person software company, a board of seven, five years. Postings for CEO assistants are written around the office of the CEO, and the headline states the level, the size and the board before the profile.
2
Meetings, trips, board and investors
Eighty meetings a week in five time zones, 44 trips a year, twelve board and committee meetings with packets a week ahead, three investor updates a quarter. The profile reads as the CEO office's operating rhythm.
3
Deep work protected, nothing missed
Eighty meetings a week across five time zones with eight hours of deep work protected and zero missed commitments. Postings ask the assistant to protect prep and deep-work windows, and this line shows it done and measured.
4
Travel against budget, with backups
Forty-four trips a year, domestic and international, with itineraries, briefings and back-up options, at $190,000 within a $210,000 budget. Logistics postings ask for exactly this, and the dollars show the desk owns the spend.
5
Board cadence with two deadlines
Twelve board and committee meetings a year for seven directors, packets out seven days ahead every time, minutes within 48 hours. Board coordination is named in CEO-assistant postings, and the two turnaround figures are the record.
6
Health system years in two lines
Two vice presidents and a 40-person department, 55 meetings a week, 20 trips, $88,000 in expense reports, then 26 hires onboarded and 14 vendor contracts. The earlier desk keeps its volumes and the page stays on the CEO office.
1
Firm size and role up top
Senior executive assistant, CEO and board, a private equity firm with $2.1 billion under management, twelve years. Finance assistants say the deal-cycle setting is what those employers screen for, and the headline states it.
2
Boards, trips, investors and a team
Nine portfolio board calendars, 60 trips a year, four investor meetings for 350 limited partners, three assistants led, zero missed board deadlines. The profile reads as the scope of the office rather than a list of duties.
3
Calendar counted in boards and zones
Nine portfolio company boards and four fund committees, 90 meetings a week in six time zones. The calendar line names the governing bodies behind the meetings, which is how a private equity chief of staff reads volume.
4
Assistant team with a response standard
Three executive assistants supporting eight partners, a shared coverage rota, a 24-hour response standard met 98% of the time. Leading other assistants with a measured standard is what separates senior from experienced.
5
Investor events sized and budgeted
Four annual investor meetings for 350 limited partners and 40 investor visits a year, $410,000 in events six percent under budget. Investor materials and meetings are the exposure finance postings screen for, and the line gives the counts.
6
Software years kept to two lines
The CEO and a seven-member board for five years, 60 meetings with every packet a week ahead, then 40 trips a year and $160,000 in travel filed inside policy. The earlier CEO desk keeps its board and travel record in two lines.

Executive assistant to the CEO
Feb 2016 – Mar 2021
Prairie Fire Software · Kansas City, MO
Coordinated 60 board and committee meetings for the CEO and a 7-member board over 5 years, every packet out a week ahead.
Managed 40 trips a year and $160,000 in travel in Concur, with expense reports filed inside policy 100% of the time.
Experience leads because the first executive-office year has produced volumes a chief of staff can check: meetings and time zones, trips and dollars in Concur, board packets with a lead time, events against budget, an inbox system adopted by other executives. The nonprofit front office reads as calls, letters and reconciled dollars, and the degree and software credential sit below.
Typical titles: Executive assistant, Executive administrative assistant, Administrative assistant to the CFO
Mid-level
3–6 years
The default view. A CEO assistant's page in the units the office of the CEO tracks: meetings a week and time zones, trips against budget, board meetings with packet lead times and minutes turnaround, investor updates, offsites against budget, an action-item tracker with its closure rate. The health system desk keeps two lines, and the credentials are dated.
Typical titles: Executive assistant to the CEO, Senior executive assistant, Executive business partner
Senior
7+ years
Scope replaces task lists: the boards and committees behind the calendar, an assistant team with a response standard, investor meetings with attendee counts and a budget result, deal-cycle travel and confidential materials handled without incident. The software years keep two lines with their board and travel record, the health system years keep the title, and both credentials are dated.
Highly organized and proactive executive assistant with excellent communication skills and a passion for supporting senior leaders in fast-paced environments.
Strong
Executive assistant with five years, the last three supporting the CEO and a 7-member board of a 220-person software company: 80 meetings a week across 5 time zones, 44 trips a year on a $210,000 budget, 12 board and committee meetings a year with packets out 7 days ahead and minutes within 48 hours, 3 investor updates a quarter, Certified Administrative Professional.
Who was supported and at what size of company, then the volumes an executive office is measured in: meetings, time zones, trips and dollars, board deadlines, investor communications, and the credential. A chief of staff can size the desk before the first bullet. The weak version describes every assistant who ever applied.
05Bullets
Weak
Responsible for managing the executive's calendar, coordinating travel and preparing materials for meetings as needed.
Strong
Prepared 12 board and committee meetings a year for 7 directors, board packets out 7 days ahead every time and board minutes posted within 48 hours.
Board support is the line a CEO reads first, and postings for CEO assistants name board meeting coordination and off-sites specifically. A meeting count, a director count, a lead time met every time and a turnaround for minutes can all be checked with the corporate secretary. The weak bullet is the posting's own duty line.

Paste a job description and Resumi shows which of these your resume already covers.
Fix: Senior assistants reviewing a colleague's resume said the short stints, not the contract work, were the red flag, and that nothing over two years reads as someone people do not retain. Group contract roles under the agency, give every job its months, and explain a short one.
2
Supported in every bullet, sized in none
Fix: Postings for CEO assistants ask for high-volume calendar orchestration, board meetings, off-sites and travel across time zones, and one reviewer told a colleague to find synonyms for supported. Write the executives and their titles, the meetings a week, the trips and dollars, and the board cadence.
3
A two-page profile that says nothing
Fix: Reviewers told a senior assistant to cut the profile and the subtitle, drop the bullets to four, start with the work, and get to one page. A summary of two lines with the executives, the company size and three volumes says more than a paragraph of judgment and discretion.
4
Tools named as a list instead of at work
Fix: The occupation's posting data puts Office, Excel, PowerPoint and Outlook in a third to nearly half of postings, with Google Workspace, Concur and Zoom behind, and tech postings ask for AI tools. Put each in the bullet where it did work, with a volume.
5
Confidential work left out for discretion's sake
Fix: Finance assistants say to state NDAs, investor materials, regulatory filings and deal-cycle work explicitly, because discretion is assumed and the exposure to those materials is what the role is hired for. Name the categories and the counts, never the contents or the counterparties.
08Format and template
Beige Two-Column puts the experience down the left and the profile, education and skills down the right, which suits a desk read by a chief of staff or a hiring executive in one pass: the executives and volumes on the left, the tools and the credential on the right without scrolling. The same content moves into Standard, Warm Classic or Blue Professional. Whichever you choose, the executives supported, the meeting volume and the board record stay on the first screen, and the certification sits under the experience with its date.

09Questions executive assistants ask
What numbers belong on an executive assistant resume?
The ones the executive office already counts: executives supported and their titles, company size, meetings a week and time zones, trips a year and the travel budget, expense volume and policy compliance, board and committee meetings with packet lead times and minutes turnaround, events and attendees against budget, investor or customer communications drafted, and the response standard met. The occupation's core tasks are calendars, travel, documents and board arrangements, and postings for CEO assistants ask for high-volume calendar orchestration and logistics for board meetings and off-sites by name. Each figure can be confirmed by the executive or the chief of staff.
What gets an administrative assistant hired into an executive assistant desk?
Show the executive-office work you already do. The handbook says executive assistants typically need several years in other administrative positions and that employers may prefer some college or a degree, and the certifying body counts years of relevant experience toward its credential. Write the vice presidents you supported, the meetings and trips, the packets and minutes, the vendor contracts and the onboarding you ran, in the same units a CEO's assistant uses, and add the credential exam you have booked. The first-year example is an assistant to a CFO and two vice presidents, and its page already reads like the CEO desk above it.
Is the CAP certification worth listing, and which others count?
CareerOneStop lists 43 certifications from 7 organizations for the occupation, most of them Microsoft Office Specialist and Tosa software credentials, plus the Certified Administrative Professional, the Professional Administrative Certification of Excellence and parliamentarian credentials for board and minutes work. The certifying body requires years of relevant experience before the exam and recertification on a cycle, so the credential dated says the work was done. None is flagged as in demand, and no posting on this page required one, so list the CAP or PACE with its date under the experience and the software credentials only where a posting names the product.
Which tools should an executive assistant list in 2026?
The ones in the postings you are answering, shown doing work. The occupation's posting data puts Microsoft Office in nearly half of postings, Excel, PowerPoint and Outlook in about a third each, Google Workspace in about a tenth, then Concur, Zoom, SharePoint, Slack and QuickBooks. Technology postings now ask for Google Workspace, Slack, Zoom and Notion and for using AI tools to speed up workflows, and staffing research reports the same shift toward automation and platforms. Write the tool with its volume: trips expensed in Concur, an action-item tracker in Notion with its closure rate, packets built in Slides.
How is a CEO's executive assistant resume different from a VP's?
Scope and exposure. Postings for CEO assistants ask for board meetings, off-sites, external appearances, investor and stakeholder contact, partnership with a chief of staff, and judgment as the first point of contact, and they pay for it. A VP's assistant shows calendars, travel, expenses and team logistics. So the CEO-level page leads with the board cadence and packet record, investor and external communications, events with attendee counts, and the confidential categories handled, and it names the company size and the number of directors. The senior example adds an assistant team and a private equity firm's deal cycle.
How long should an executive assistant resume be?
One page, including the senior assistant with twelve years across three employers. Senior assistants reviewing a colleague's two-page resume said to cut the profile, drop the bullets to four or five, group the contract work and get to one page, because a hiring executive reads the top third and decides. Give the current desk five or six bullets with volumes, earlier desks two lines, the credential dated in the right column, and the tools inside the bullets. Older administrative roles keep the title and dates.
