Data entry clerk resume examples & writing guide for 2026

Three data entry clerk resumes at first-year, exception-queue and supervisor level, rendered in a real template and annotated line by line. Each one leads with what a hiring supervisor tests first: keystrokes per hour, accuracy on audit, and the documents keyed.

What makes this resume work

Each marker on the page has a note here. Press a marker to jump to its note.

  1. 1

    Rate and error rate together

Senior operator, mortgage servicing, 12,400 keystrokes per hour and a 0.2% error rate. Testing firms report net speed with an exact error count, and the headline gives the same pair a production supervisor expects.

  2. 2

    The exception queue, owned

Eleven hundred loan documents a day and the fields the scanner could not read, cleared by 3 p.m. on 96% of days. Capture vendors describe the human job moving to exception handling, and this bullet is that job.

  3. 3

    A guide that cut misindexing

A two-page document-type guide with 60 examples cut misindexed documents 44% across both shifts. It shows judgment about where errors come from, which is the step from keyer to specialist.

  4. 4

    Payment records keyed twice

Double-key verification on 3,200 escrow disbursement records a month, with no payment error traced to keying. Re-entering data in verification format is a core task for the occupation, and here it protects money going out.

  5. 5

    Access backed by a query

Microsoft Access on the skills line, backed by the query on the left that matched 9,000 loan numbers a week. Access is in the occupation's software list, and a working query is rarer here than a speed score.

03The same resume at three levels

The tinted row is the level shown above.

  • Entry-level

    0–2 years

The certificate and the Ten Key result come first, then the first claims job in four counted bullets: forms a day with the audit method, returns cut by catching errors before keying, open enrollment indexed against source, and a tracker the supervisor used. The college admissions job keeps one line with its own count.

Typical titles: Data entry clerk, Data entry operator, Data entry keyer

  • Mid-level

    3–6 years

The default view. A document center in the units a production supervisor tracks: an exception queue with its daily cutoff, documents indexed a month with the QC error rate, a guide that cut misindexing, a lookup check that caught mismatches, double-key verification on money records, and new operators trained to the standard.

Typical titles: Senior data entry operator, Data entry specialist, Document specialist

  • Senior

    7+ years

Scope replaces keying volume: a team of nine across two shifts with its turnaround, an OCR rollout with its straight-through rate, the error rate halved with a sampling method, the data rules written down for audits, and overtime cut with scheduling. The servicer keeps two lines, the first claims job one.

Typical titles: Data entry supervisor, Data processing lead, Document processing supervisor

04Summary

Weak

Detail-oriented data entry clerk with fast typing skills and a strong work ethic, able to enter large amounts of data quickly and accurately while meeting deadlines.

Strong

Data entry operator with six years in high-volume document processing, the last three owning the OCR exception queue at a mortgage servicer: 1,100 loan documents a day, 24,000 indexed a month, a 0.2% error rate on QC samples and 12,400 KPH.

Speed and accuracy are the whole job, so the strong version gives both as numbers a supervisor can test, plus the document type and the queue it owns. The weak version claims the same two things with adjectives that cannot be checked.

05Bullets

Weak

  • Entered data into multiple systems accurately and efficiently and maintained records in an organized manner.

Strong

  • Processed 24,000 scanned payoff, escrow and insurance documents a month, indexed to 18,000 loan records at a 0.2% error rate on daily QC samples.

O*NET's highest-rated task for the occupation is finding and correcting entry errors, and postings tie accuracy to client service levels. The strong bullet names the document types, the monthly volume, the records they land on and the error rate with how it was measured. A production supervisor can compare every figure with their own floor, and the weak bullet gives them nothing to compare.

07Mistakes to avoid

  1. Typing speed in words per minute only

Fix: Employer tests for this work score numeric and alphanumeric entry in keystrokes per hour and report the exact error count. Give your KPH for each, your accuracy and the test date. Words per minute alone describes a typist, not an operator.

  2. Volume with no accuracy figure

Fix: Finding and correcting entry errors is the occupation's highest-rated task, and postings promise clients an accuracy level. Put an error rate beside every volume, with how it was measured: a weekly audit sample, a daily QC check or double-key verification.

  3. Documents and systems left unnamed

Fix: Postings this year ask for claims, scanned forms, attendance records and itemized bills, each keyed into a named system. Say what you keyed and where it went. A supervisor hiring for claims reads claims experience first.

  4. Exception work hidden behind entered data

Fix: Document capture vendors describe the human part of the job moving to exceptions the scanner cannot read. If you clear an OCR exception queue or verify machine-read fields, write it as its own bullet, with the daily volume and the cutoff.

  5. Microsoft Office as the whole skill set

Fix: Excel appears in 24% of postings for the occupation and Office in 20%, so the word alone does not separate anyone. Name what you built: an error tracker, a lookup check or a query, with what it caught.

08Format and template

Beige Two-Column puts the experience on the left and the profile, skills, certifications and education on the right, so a production supervisor sees volumes and error rates on the left and keypad speeds, systems and the Ten Key result on the right. The same content moves into Standard, Warm Classic or Blue Professional. Whichever you choose, keep the keystroke rate and the error rate up in the headline, the document types inside the bullets, and every date in months.

09Questions data entry clerks ask

Should I put my typing speed on a data entry resume?

Yes, as keystrokes per hour, split by keypad. Pre-employment tests for this work score alphanumeric entry, numeric entry and ten-key separately, and report net speed with an exact error count. Put the result you would show at the test in the headline or summary, with the test date, and keep accuracy beside it. The examples carry 11,800 and 12,400 KPH as the persona's own scores. CareerOneStop lists a Ten Key certification for the occupation if you want a third-party result.

Is data entry a dying job?

It is shrinking fast. BLS projects data entry keyer employment to fall 25.5 percent from 2025 to 2035, from 131,800 jobs to 98,200, and O*NET still counts 9,500 openings for 2024 to 2034. Document capture vendors describe the remaining human work as exceptions: fields the scanner cannot read, records that do not match, rules for what counts as correct. Put that work on the resume. The mid example owns an exception queue and the senior example led the OCR rollout.

Do I need a degree or certification for data entry?

No degree. O*NET places the occupation in Job Zone 1-2, which usually means a high school diploma or GED and anywhere from a few days to a year of on-the-job training. No license is listed in any state. CareerOneStop lists three certifications for the code: Pearson's IT Specialist in Computational Thinking, a Ten Key certification and a Medical Coder credential. The examples hold a one-year business computer applications certificate, and the entry and mid versions list the Ten Key result.

Which software should a data entry clerk list?

The spreadsheet first, then the system of record. In 2025 postings for the occupation, Excel appeared in 24 percent, Microsoft Office in 20 percent, Outlook in 9 percent and Word in 7 percent, with QuickBooks, SAP and Access at 1 percent each. Beyond Office, name the claims system, EHR or servicing platform the records went into, unless it was built in-house. The mid example lists Access because a bullet shows the query it ran.

What jobs can data entry lead to?

O*NET's related occupations are billing and posting clerks, payroll and timekeeping clerks, production planning and expediting clerks, and shipping, receiving and inventory clerks, among others. ARMA International's job levels for information work run from information clerk and imaging technician to analyst, specialist and then supervisor. The examples show the in-field path: a clerk keying claims, an operator owning an exception queue, then a supervisor running two shifts. Write the step you want next into the bullets you already have.
