07Mistakes to avoid

  1. QuickBooks written without the edition

    Fix: Postings split Online, Desktop and Enterprise into separate hard requirements, and the screener filters on the one their books sit in. Write the edition every time, and name both if you have run both. The bare word answers none of what is being asked.

  2. Payroll listed without saying who owned it

    Fix: Assisted with payroll and ran payroll are different jobs, and an interviewer asks which one on the first call. Write the verb, the headcount, the frequency and the filings: weekly payroll for 38 field employees, quarterly returns filed on time.

  3. No volumes anywhere on the page

    Fix: Scope is invisible without counts. Entities closed, employees on payroll, accounts reconciled, transactions a month, clients in the portfolio, filings a quarter. Without them, a bookkeeper at a two-person shop and one at a 200-person builder write the same page.

  4. Cleanup work left off because it looks like someone else's mess

    Fix: It is the most valuable thing you can show right now. Say what you inherited, how far back you rebuilt, and what the outside accountant accepted: a rebuilt chart of accounts and 14 months re-reconciled for a clean close.

  5. A ProAdvisor line with no year on it

    Fix: That credential recertifies annually, so the year is the part a reader checks. Write it in full with the awarding body and the year you last sat it, and do the same for a Certified Bookkeeper or a Certified Public Bookkeeper.

08Format and template

Single column, standard headings, no photo. A bookkeeping hire is screened on software first, so the edition belongs in the headline where it is read before the summary. Keep the entities closed, the payroll headcount and the accounts reconciled in the first two bullets of the current role. 09Questions bookkeepers ask

Do I need a degree to work as a bookkeeper?

No. BLS records the typical entry as some college without a degree, plus moderate-term on-the-job training, and no prior experience in a related occupation. O*NET's own respondents are blunter still: most said a high school diploma is what a new hire needs, with about a fifth naming a post-secondary certificate. Public-sector and school-district postings are the exception and often set a degree floor. An associate degree or accounting coursework helps most where you are competing for a full charge seat.

Which certification is worth it: CB, CPB or a QuickBooks ProAdvisor?

They answer different questions. The Certified Bookkeeper from the American Institute of Professional Bookkeepers tests the accounting and asks for two years of work behind it. The Certified Public Bookkeeper from the National Association of Certified Public Bookkeepers is run as a license with annual continuing education. A ProAdvisor certification proves the software and recertifies every year. Employers name the software credential most often, so if you hold only one, hold the one for the system your next employer runs, and date it.

How do I show I was full charge when my title said bookkeeper or office manager?

By the reporting line, not the title. Full charge means you closed the books with nobody in house checking them and handed the outside accountant something they could work from. Write that: the entities you closed, the day of the month you closed by, and the fact that the reviewer was external. Hybrid titles are normal in this field, so a screener is already reading for scope rather than the words on the title line.

What numbers belong on a bookkeeper resume?

The ones a hiring manager will ask for out loud: entities and companies closed, employees on payroll and how often it runs, bank and card accounts reconciled and on what cadence, transactions a month, clients in your portfolio, filings a quarter, and the day of the month you close by. Add revenue of the business only to size it. Every one of them can be confirmed by a former employer, which is the whole point.

Is bookkeeping a shrinking job, and should my resume say anything about it?

Employment is projected to fall about 6 percent from 2025 to 2035 while still turning over roughly 144,100 openings a year, so the work is being replaced faster than it is disappearing. Nothing about that belongs on the resume. What belongs is the part of the job that got harder rather than easier: catching what the bank feed coded wrong, cleaning up books nobody reconciled, and running the apps around the ledger. Show those and the trend stops being your problem.

How do I list a portfolio of small clients as a contract bookkeeper?

As one role with a portfolio, not one role per client. Give the count you carry, the range of business sizes, the systems they sit in and the services you run for them, then name two or three anonymised engagements with their scope. Fifteen clients, $1 million to $12 million in revenue, split between QuickBooks Online and Xero, reads as a practice. A list of fifteen employers reads as fifteen short jobs.
