What makes this resume work

Each marker on the page has a note here. Press a marker to jump to its note.

  1. 1

    Certification, volume and entities

APS, 2,800 invoices a month and 3 entities. Multi-entity AP is a common posting requirement, and the headline says so alongside the volume and the credential.

  2. 2

    Exception rate and cycle time

Nineteen percent to 8%, and 11 days to 4. Both appear in AP benchmark reports such as Ardent Partners', so a hiring manager can compare them with their own team straight away.

  3. 3

    The cause of exceptions fixed

Unit-of-measure mismatches fixed with purchasing for 40 suppliers. Naming the cause shows the specialist worked upstream on why invoices failed, not just cleared them one by one.

  4. 4

    Approvals moved online

Non-PO approvals moved into Bill.com, cutting processing to 4 days. Approvals are where invoices wait longest, and the bullet names the step that changed and the result.

  5. 5

Positive pay after a near miss

A $28,000 altered-check attempt and a weekly positive pay file. Checks remain the payment type most often hit by fraud in the AFP survey, so a control with a reason reads well.

03The same resume at three levels

The tinted row is the level shown above.

  • Entry-level

    0–2 years

Education sits above the jobs, and the headline gives volume, the match type and the system. Bullets cover invoices matched, the exception queue, discounts captured, statement reconciliation and bank change checks. The store bookkeeper years fold to one line with registers and deposits.

Typical titles: Accounts payable clerk, Accounting clerk, AP associate

  • Mid-level

    3–6 years

The headline adds the APS and the entity count. Bullets give the exception rate with its cause, volume and payment types, processing time with the approval change, 1099s without corrections and a positive pay file. The grocery years fold to one line with volume and discounts.

Typical titles: Accounts payable specialist, Senior AP clerk, AP analyst

  • Senior

    7+ years

Scope replaces processing: the team, monthly volume across six entities, the touchless rate, cost per invoice, vendors moved off checks and a three-day close with clean audits. The specialist years fold to one line with the exception rate and the year the APS was earned.

Typical titles: Accounts payable lead, Accounts payable supervisor, AP manager

04Summary

Weak

Detail-oriented accounts payable professional skilled in invoice processing, vendor relations and data entry, with a proven ability to meet deadlines in a fast-paced environment.

Strong

Accounts payable specialist with five years in high-volume AP, handling about 2,800 invoices a month for a manufacturer's 3 entities in NetSuite and Bill.com. Lowered the invoice exception rate from 19% to 8%, cut processing time from 11 days to 4, and holds the APS from IOFM.

Volume, entities, systems, the exception rate, cycle time and a credential. A controller can compare this specialist with their own team's numbers in one read. The weak version meets deadlines without an invoice count, a system or a result.

05Bullets

Weak

  • Processed invoices and payments accurately and handled vendor inquiries in a timely manner.

Strong

  • Lowered the invoice exception rate from 19% to 8% by fixing unit-of-measure mismatches with purchasing for the 40 largest suppliers.

An exception rate before and after, the cause and the people involved. A hiring manager can ask how the mismatches were found and how purchasing was persuaded to help. The weak bullet gives no invoice volume, no exception rate and no result at all, so it could describe almost any payables desk at any company in any industry.

07Mistakes to avoid

  1. Invoice volume with no period

Fix: Give invoices a month, the number of entities or locations and the payment runs you handled. A thousand invoices a year and a thousand a month are very different jobs, and a reader cannot tell which one you mean without a period.

  2. Accuracy claimed with no measure

Fix: A bare 99% accuracy reads as a guess. Use the measures AP teams track, such as the exception rate, processing time in days, duplicate payments found or cost per invoice, with a before and after.

  3. Match type and system left out

Fix: Postings ask for 2-way or 3-way matching and name the ERP, such as NetSuite, SAP or Infor. Put both in your headline or first bullet, so a reader can see you have done the work their way.

  4. Payment controls missing

Fix: Fraud attempts reach most companies through payments. If you verified bank changes, ran positive pay or caught a fake vendor request, give it a bullet with a count. It shows judgment as well as speed.

  5. Year-end work skipped

Fix: 1099s and W-9 collection are part of AP in many companies. Give the number of 1099s you prepared and whether any needed correction, because a clean year-end is easy for a hiring manager to check.

08Format and template

Reverse-chronological order, standard section headings, and every figure written as text. Put invoice volume, the match type and your ERP in the headline. Name the payment types you ran and any approval tools. Keep certifications such as the APS in their own section with the year. Leave out vendor names and bank details. This example uses Executive Classic. The same content works in Standard, Warm Classic and Maroon Elegant.

09Questions accounts payable clerks ask

What numbers should an accounts payable clerk put on a resume?

Invoices a month, entities or locations, and the payment runs you handled come first. Then give results: the exception rate or queue size, processing time in days, early-payment discounts captured, duplicate payments recovered and 1099s filed without correction. Each figure needs a period and, where you improved it, a starting point. Industry benchmark reports, such as Ardent Partners', track processing time and exception rate, so a manager will compare yours.

What is 3-way match and should I mention it?

Three-way match checks a supplier invoice against the purchase order and the receiving record before payment. Two-way match skips the receipt. Many AP postings ask for one or both by name, so mention the type you used and the volume. If you resolved mismatches, say how, such as calling the receiving site or fixing units with purchasing, because that is where the work takes most time.

Is the IOFM Accredited Payables Specialist worth it?

It can help, especially if you have no accounting degree. IOFM's APS program covers internal controls, tax and regulatory rules, the vendor master file, invoices, payments, travel and expense, and automation, and ends with a 100-question exam. BLS notes that certification is not usually required but can show competency. List it with the year in a certifications section, and keep your volume and results first.

How do I show fraud prevention on an AP resume?

Name the controls you ran and give a count. Calling a known contact before changing a vendor's bank details, building positive pay files, and reviewing new vendor setups all count. The AFP's 2026 survey found that most organizations faced attempted or actual payments fraud, and that checks were the payment type most often hit. A bullet showing a fraud attempt stopped reads as a strong result.

How do I move from accounts payable clerk to a senior AP role?

Show work beyond processing. Fixing the cause of exceptions, setting up approval workflows, moving vendors to electronic payment and leading year-end 1099s all point toward a lead role. Give the results with numbers and a period. Training new clerks or covering for a supervisor counts too. The APS, then IOFM's manager-level credential, gives a structured path if your employer values certification.

Will automation replace accounts payable clerks?

BLS projects jobs for bookkeeping, accounting and auditing clerks to fall 6% from 2025 to 2035, and says automation is reducing demand, yet it still expects about 144,100 openings a year. The postings read for this page still ask for matching, exception handling, vendor questions and payment controls. A resume showing those results, not only invoice entry, fits what employers asked for.
