What makes this resume work

Each marker on the page has a note here. Press a marker to jump to its note.

  1. 1

    Union and non-union up top

CPP, 4,200 employees, 2 states, union and non-union. Each element changes the work, and a health system hiring for union pay rules will look for that phrase first.

  2. 2

    A clean quarter-end

No amended quarterly returns for 2025. An amended return means a filing was wrong, so a year without one is a plain, checkable sign of accurate tax work.

  3. 3

    Contract rules configured

Pay rules for 2 nursing contracts, including differentials, on-call and call-back pay. Building the rules in the system is harder than entering hours, and it is what keeps union pay right every cycle.

  4. 4

    Tax notices resolved

Thirty-one state notices and $18,400 in penalties abated. Notices arrive at every multi-state employer, and a count with money recovered shows someone who can answer an agency well.

  5. 5

    Fewer W-2 corrections

W-2c forms from 64 to 9 by checking fringe benefits and multistate wages in November. Catching errors before year-end saves employees refiled returns and the employer more filings.

03The same resume at three levels

The tinted row is the level shown above.

  • Entry-level

    0–2 years

Education sits above the jobs, and the headline names the certification, headcount, plants and system. Bullets cover two pay frequencies, timecard audits, off-cycle checks, reconciliation to the ledger and garnishments. The accounts payable year folds to one line with the payroll cycles covered.

Typical titles: Payroll specialist, Payroll clerk, Payroll and timekeeping coordinator

  • Mid-level

    3–6 years

The headline adds the CPP, two states and union work. Bullets give contract pay rules built in the system, headcount with accuracy, quarterly returns reconciled, tax notices resolved and year-end corrections cut. The manufacturing years fold to one line with the FPC.

Typical titles: Payroll specialist, Senior payroll specialist, Payroll analyst

  • Senior

    7+ years

Scope replaces processing: the team, headcount across three states, a system conversion with parallel runs, two acquisitions, fewer questions from employees and controls tested by audit. The manufacturing years fold to one line with the year the CPP was earned.

Typical titles: Payroll supervisor, Payroll manager, Payroll team lead

04Summary

Weak

Detail-oriented payroll professional with strong knowledge of payroll processing and a commitment to accuracy, confidentiality and excellent employee service.

Strong

Certified Payroll Professional with five years in multi-state payroll, running biweekly payroll for 4,200 hospital and clinic employees in Minnesota and Wisconsin. Configures union pay rules for 2 nursing contracts in UKG Pro and closed 2025 with no amended quarterly returns.

The certification, the headcount, the states, the pay frequency, union work, the system and a clean tax year. A hiring manager can match this to their own payroll in one read. The weak version promises accuracy without a headcount, a state or a system.

05Bullets

Weak

  • Processed payroll accurately and on time for all employees and answered payroll questions from staff.

Strong

  • Reduced W-2c corrections from 64 to 9 by auditing taxable fringe benefits and multistate wages each November.

A year-end error count before and after, and the audit that brought it down. A hiring manager can ask which fringe benefits were wrong, how the November check was built and who ran it. The weak bullet gives no headcount, no frequency and no result, so it could describe any payroll role at any employer of any size.

07Mistakes to avoid

  1. Headcount with no frequency or states

Fix: Give the number of employees, the pay frequencies you ran and the states you withheld for. Weekly hourly payroll in one state and biweekly payroll across three are different jobs, and postings ask for multi-state experience by name.

  2. Accuracy claimed without a measure

Fix: A bare 100% accuracy reads as a guess. Say what you counted, such as checks issued, off-cycle checks, W-2c forms or amended returns, and give a before and after where you improved it.

  3. The payroll system left vague

Fix: Postings name the system: UKG Pro, ADP Workforce Now, Workday or Paylocity. Name yours in the headline or skills, and say what you did in it, such as configuring pay rules or running parallel tests, not just entering hours.

  4. Tax and year-end work left out

Fix: Quarterly returns, state registrations, tax notices and W-2s are where payroll errors cost money. Give the returns you reconciled, the notices you resolved and any reduction in year-end corrections.

  5. Certification missing its year

Fix: The FPC recertifies every three years and the CPP every five, through continuing education. List the credential with the year earned, so a reader knows it is current, and put it in a certifications section.

08Format and template

Reverse-chronological order, standard section headings, and every figure written as text. Put your certification, headcount and system in the headline. Name the states and pay frequencies in the summary. Keep the FPC or CPP in a certifications section with the year. Leave out employee names or pay details, even as examples. This example uses Executive Classic. The same content works in Standard, Warm Classic and Maroon Elegant.

09Questions payroll specialists ask

Should I get the FPC or the CPP?

Start with what you qualify for. PayrollOrg's Fundamental Payroll Certification has no eligibility requirement and suits people new to payroll. The Certified Payroll Professional requires payroll experience, such as three of the last five years, or a shorter period combined with courses. The FPC renews every three years with 60 credit hours, and the CPP every five with 120. List either one with its year.

What numbers should a payroll specialist put on a resume?

Headcount, pay frequencies, states and entities first, because they size the payroll. Then give accuracy with a measure, such as off-cycle checks, amended returns or W-2c forms, and garnishments handled with a turnaround. If you led a system change, give the number of employees moved and the parallel test results. Each figure should have a period and, where you improved it, a starting point.

Is payroll a good career if the job is projected to decline?

BLS projects payroll and timekeeping clerk jobs to fall 16% from 2025 to 2035. The postings read for this page, at a manufacturer, an orthopedic clinic, a builder and software companies, still asked for multi-state tax, union pay rules, system configuration and audit support. A resume that shows that work, not just data entry, fits what those employers asked for.

How do I show multi-state payroll experience?

Name the states in your summary or a bullet, and say what each added: resident and non-resident withholding, unemployment registrations, local taxes or paid leave rules. Give counts where you can, such as state tax notices resolved or new registrations filed. If you moved employees between states or onboarded an acquisition in a new state, put that in a bullet with the headcount.

How do I move from accounts payable into payroll?

Show the payroll work you already touch. Covering payroll cycles during a vacancy, reconciling payroll to the ledger, or handling garnishment payments all count. The FPC needs no experience to sit, so earning it gives you a payroll credential before you have the title. Then lead your resume with any payroll cycles you ran, with the headcount and frequency, before the payables work.

Should a payroll resume mention confidentiality?

Show it rather than claim it. Postings ask for discretion with confidential data, so mention work that proves it, such as running executive payroll, handling garnishment orders or supporting an audit with clean control evidence. Never include real employee names, pay rates or identifiers in your examples. A bullet about controls that passed audit says more about trust than the word confidential.
